Proposal Coordinator
Harris Miller Miller & Hanson Inc. (HMMH) has an immediate opportunity for a highly organized and detail-oriented Proposal Coordinator/Business Development Analyst to work in a remote or a hybrid capacity at one of our seven office locations. The Proposal Coordinator/Business Development analyst will be responsible for all phases of the proposal development lifecycle including capture planning, strategizing, organizing, and executing proposals in collaboration with the Technical Capture Manager, internal teams, and subject matter experts, ensuring timely and compliant submissions. The ideal candidate will have at least five years of experience supporting proposal development, with a keen eye for detail.
Key Responsibilities:
- Oversee the development of compelling, clear, and concise proposal content, ensuring adherence to established guidelines, compliance, and consistent messaging.
- Establish and manage proposal schedules and deadlines, develop proposal outlines, monitor progress, and coordinate with technical staff.
- Coordinate, write, review, and edit original content for non-technical proposal sections to deliver clarity, compliance, and key messages/win themes.
- Review proposal drafts and final documents to ensure responsiveness, compliance, and quality.
- Support follow-up activities, including debriefs, client interviews, and supplemental requests for information.
- Independently coordinate with and collect information from teaming partners and subconsultants.
- Work with technical staff to develop and update project descriptions, resumes in response to data calls from prime teaming partners.
- Develop collateral, such as brochures, qualifications statements, and other materials, in collaboration with technical staff.
- Conduct market research using sources such as GovWin IQ, SAM.gov, GSA eBuy, and agency forecasts to gather intelligence on potential contracts and emerging trends to inform business development initiatives.
- Populate and update business development-related tools and databases, such as CRM and marketing intelligence software.
- Assist CGO and Business Developers in pipeline development and tracking to ensure alignment with strategic growth objectives.
- Create CRM reports and analytics to provide visibility into pipeline status, forecasts, and trends.
- Support business development strategies that align with business objectives, market trends, and customer requirements, effectively positioning HMMH to win competitive bids.
- Draft creative covers, update org charts, call out boxes, edit headshots, create tables, etc.
- Other duties as assigned.
Minimum Requirements:
- Bachelor's degree in English, business administration, marketing, or a related field. MBA or advanced degree is a plus.
- 5+ years of experience in proposal management, in the environmental consulting, Architectural Engineering and Construction (AEC) industry, or a related field; experience with federal government contract proposals is preferred.
- Proven track record of leading successful proposal efforts, including prime proposals and data calls.
- Excellent interpersonal and communication skills, with the ability to build rapport with multidisciplinary teams.
- Exceptional project management skills, with the ability to handle multiple proposals and competing deadlines while maintaining attention to detail.
- Demonstrated ability to work independently and lead team, managing cross-functional collaboration and coordination.
- Dependable time management skills in a remote environment.
- Proficiency in using CRM software, proposal management tools, and sales tracking tools to manage leads, opportunities, and proposal development.
- Proficiency in Canva, Adobe Creative Suite, Microsoft Office Suite, etc. Proficiency in GovWin, Cosential, and/or Deltek CRM is a plus.
